  Appointment Scheduling and Patient Recalls

Your appointment book is crucial to planning your day.  Hippocrates III makes it easy to schedule appointments efficiently, making the most of your available treatment hours.  With Hippocrates III you can:

  • Maintain separate office hours for each doctor in the practice to avoid scheduling errors.
  • Set up variable time intervals for each doctor in the practice.
  • Create appointment-reason codes for why the patient is coming in with predefined time intervals to ensure enough time between procedures.
  • View at a glance a monthly calendar of your scheduled appointments versus your available treatment hours to help you balance your work load.
  • Display what is currently scheduled and/or open for any given day.
  • Schedule more than one patient for a specific appointment daily treatment schedules for each doctor, location, and/or room.
  • Block out times when appointments should not be made (i.e., vacations, holidays, or other times when patients should not be seen).
  • Search quickly for the first available appointment time.  A big time saver!
  • Store those important notes and reminders about the patient coming in as part of scheduling the appointment.

Recalling patients is a fundamental part of every practice.  Yet, few offices find the time.  With Hippocrates III you can easily recall patients by:

  • Procedure code.
  • Diagnosis code.
  • Date of service.
  • Date of last visit.
  • Date of birth.
  • Up to three recall codes that you define yourself.
  • A recall date set up on the patient's account at the time of last visit.

Print your recall notices by creating up to nine different (possibly multilingual) recall postcards and/or nine different letters to send to your patients. You can also print mailing labels for your preprinted cards.

Billing, Accounts Receivable and Automated Payment Reconciliation

As the day's services are entered, print clear and accurate insurance forms for those companies requiring a paper claim.  Print Worker's Compensation and No Fault forms as well.

As patients check out, provide them with instant receipts for their records.  For those patients who forget to pay promptly, generate accurate patient statements on self-mailers that include return envelopes for easy response.

Simplify collections by targeting separate Aging Reports for the patient-due and insurance-due portions of your accounts Receivable.  Age your total receivable for a specific carrier, office location, or doctor.  Assign a status code to patients in Collection for reporting and tracking purposes.
